How to use the time card calculator with lunch
Use Minutes when you know the total lunch duration. Use Out & in times when you have clock-in, lunch-out, lunch-in, and clock-out punches. Lunch intervals must sit within the shift. Add another break in a day’s options if you need multiple paid or unpaid breaks.
Avoid counting the same lunch twice
Enter each break once. If you record lunch as 12:00 PM to 12:45 PM, do not also add a separate 45-minute unpaid break for that same meal. The two entries describe one interval, and entering both would deduct it twice. Additional breaks should represent separate time away from the shift.
- Choose Minutes or Out & in times before entering lunch. Switching modes clears the first break's duration or clock times, so re-enter the lunch in the new format and check the daily total afterward.
- For several breaks, clock intervals make their timing easier to verify. The calculator rejects overlapping intervals. Breaks entered only as minutes have no start time, so review them yourself to ensure they do not duplicate another break.
- Compare the result panel's Unpaid breaks with your actual deductions. Marking a lunch as paid keeps its minutes in work hours; it does not add those minutes on top of the shift. If you worked through lunch, leave that unused break blank.

Paid rest breaks and unpaid meals
Under U.S. federal rules, short rest breaks, usually 5–20 minutes, count as compensable work time. Bona fide meal periods, typically 30 minutes or more, can be unpaid when the employee is relieved of duties. Duration alone does not decide whether a break is unpaid; the circumstances and applicable rules matter. This tool does not automatically classify your breaks.
A daily lunch calculation or a full weekly report
Enter one shift for a daily hours calculator with lunch. Add the rest of the week for a time card, or switch to Biweekly for a two-week report. Only completed, valid entries can be exported. A break longer than the shift or overlapping break intervals is flagged for correction.
For five identical 9:00 AM–5:00 PM shifts, a 30-minute unpaid lunch each day removes 2 hours 30 minutes over the week. The net total is 37 hours 30 minutes, or 37.5 decimal hours. At $20 per hour, that produces $750 in estimated gross pay under the default weekly rule. If all five lunches are paid instead, the same clock punches give 40 hours and $800.
Check each day's paid status rather than changing the shift's end time to make the total fit. These examples assume no other breaks and no rounding. Enter different lunch lengths on the days they actually occurred; a weekly average can hide a missed or duplicated meal deduction.
